1. Who we are and what this covers
ALPHA TRAINING, LLC., doing business as Alpha Training ("Alpha Training," "we," "us," or "our"), operates a martial arts and athletic training facility at 39015 Co Rd 54, Zephyrhills, FL 33565.
This Privacy Policy explains what personal information we collect through myalphatraining.com and our related sites — including our inquiry and public schedule pages at interested.myalphatraining.com and our member portal at member-portal.myalphatraining.com (together, the "Site") — how we use it, who we share it with, and what choices you have.
It also covers information about your athletes that you give us in connection with enrollment, classes, events, and personal training. It does not cover the practices of any third party, or information you give us in person or on paper outside of the Site.
If you don't agree with this Policy, please don't use the Site.
2. Information we collect
Information you give us
When you submit an interest or trial request: the parent or adult contact's first and last name, email address, and mobile phone number; each prospective athlete's first and last name, age, and gender; which classes or programs you're interested in; the days and times you're available; prior martial arts or other athletic experience; whether you'd like to start right away; and how you heard about us (including any referral source).
When you enroll or add a student: the same athlete details, plus the requested start date, program and class selections, and the class or classes each athlete is enrolled in.
When you use the member portal: your sign-in email address, and the bookings, cancellations, schedule views, and account changes you make.
When you book or cancel a personal training session: the athlete, the date and time you selected, and the sessions remaining on your package.
When you sign a waiver: the information our e-signature provider collects to complete and record the signature, including the signer's name, email address, the signed document, and the date and time of signing. If a waiver or enrollment form asks for an emergency contact or any health information, we collect what you provide there and use it only for your athlete's safety and participation.
When you pay us: your billing name and email, the invoices and amounts owed and paid, and your payment history. We do not receive or store your full payment card or bank account number — see Section 5.
When you contact us: the content of your emails, messages, and any information you volunteer.
What is collected automatically is limited to:
Sign-in session data. When you sign in to the member portal, your browser stores your sign-in session temporarily in browser session storage, which clears when you close your browser. Our identity provider also sets its own cookies on its own sign-in domain in order to authenticate you and keep you signed in.
Server and security logs. Our hosting and application platforms automatically log routine technical information such as IP address, browser and device type, pages or endpoints requested, timestamps, and errors. We use these to operate the Site, diagnose problems, and detect abuse.
Information from others
We may receive information about you from a parent, guardian, or other adult in your household who enrolls or manages an athlete; from someone who refers you to us; from our payment and accounting provider (for example, whether an invoice was paid); and from our e-signature provider (for example, whether a waiver was completed).
3. Children's and athletes' information
Many of our athletes are minors, and we treat their information carefully.
Accounts are for adults. The Site is not directed to children, and children may not create accounts, submit forms, or make payments. Only a parent or legal guardian (18 or older) may create an account, enroll an athlete, book sessions, or pay.
We collect information about a minor only from that minor's parent or legal guardian, and only what we need to enroll them, place them in the right class, keep them safe, schedule them, and bill you.
We do not knowingly collect personal information directly from a child under 18. If you believe a child has provided information to us through the Site, email admins@myalphatraining.com and we will delete it promptly.
We never sell, rent, or share athletes' information for marketing or advertising, and we do not use it to advertise to children.
A parent or legal guardian may review, correct, or ask us to delete their minor's information as described in Section 10, subject to the records we're required to keep (see Section 8).
4. How we use information
We use personal information to:
respond to interest, trial, and enrollment requests, and follow up about them;
enroll athletes, place them in classes, and maintain class rosters and attendance;
schedule, confirm, reschedule, and cancel classes, events, trials, and personal training sessions, and keep our coaches' calendars accurate;
create, send, and track invoices, and record payments;
send and record required waivers;
operate the member portal, authenticate you, and show you your own family's schedule, students, sessions, and billing;
send you account, scheduling, billing, and waiver notifications (see Section 7);
keep athletes safe during training, and respond to injuries or emergencies;
keep our own business records, including accounting, tax, and insurance records;
secure the Site, prevent fraud and abuse, and enforce our Terms of Use; and
comply with law and respond to lawful requests.
We do not sell your personal information, and we do not share it with anyone for their own advertising or marketing purposes.
5. Payments
Invoicing and payment processing are handled by our third-party accounting and payment provider. When you pay an invoice, you enter your card or bank details directly with that provider, on their systems. We do not receive, see, or store your full card number, CVV, or bank account number. What we receive back is the fact and amount of payment, the payment method type and last digits, and the invoice it applies to.
That provider handles your payment information under its own privacy policy and terms.
6. When we share information
We share personal information only in these situations:
Service providers who run our systems. We use a small set of established vendors to operate the business, and they may process your information only to provide services to us:

Our staff and coaches. Authorized Alpha Training staff and coaches can see the information they need to teach classes, run schedules, handle billing, and keep athletes safe.
Emergencies. If an athlete is injured or there is a medical emergency, we may share information with emergency responders, medical personnel, and the athlete's parent or guardian.
Legal and safety. We may share information when we reasonably believe it's required by law, subpoena, or court order, or necessary to protect the rights, property, or safety of Alpha Training, our members, our staff, or the public — including reporting obligations relating to the safety of a minor.
Professional advisors. We may share information with our accountant, insurer, or attorney, subject to their confidentiality obligations.
Business transfer. If Alpha Training is sold, merged, or reorganized, information may transfer as part of that transaction, subject to this Policy.
With your direction. We'll share information with anyone else when you ask us to.
7. Emails and text messages
We send two kinds of messages:
Service messages about your account, enrollment, waivers, bookings and schedule changes, invoices, and payments. These are part of providing the service. You can't opt out of them while your account is active, though you can close your account.
Optional announcements about programs, events, and promotions. You can opt out at any time using the unsubscribe link or by emailing admins@myalphatraining.com, and opting out won't affect your service messages.
If you give us a mobile number, you agree we may use it to reach you about scheduling and account matters. Standard message and data rates from your carrier may apply.
8. How long we keep information
We keep personal information for as long as we need it for the purposes described above, and then for as long as required for our records:
Member and athlete records — while the athlete is active, and for a reasonable period afterward in case they return.
Signed waivers — retained long-term, because they document consent and assumption of risk and may be needed to defend a claim.
Billing, invoice, payment, and accounting records — retained as required for tax, accounting, and audit purposes (generally at least seven years).
Interest and trial inquiries that never enroll — retained for a limited period for follow-up, then deleted or archived.
Server and security logs — retained for a short period, as set by our hosting platforms.
When we no longer need information, we delete it or de-identify it.
9. How we protect information
We take security seriously and use reasonable administrative, technical, and physical safeguards, including:
encryption in transit for all traffic to and from the Site;
sign-in through a managed identity provider, rather than passwords we store ourselves;
server-side checks so that a signed-in member can reach only their own family's records;
restricted administrative access, limited to specific authorized staff accounts; and
storage on established cloud platforms with their own security controls.
No system is perfectly secure, and we can't guarantee absolute security. Please help by keeping your sign-in credentials private and telling us right away at admins@myalphatraining.com if you think your account has been accessed by someone else.
If a breach of your unencrypted personal information occurs, we will notify you and any required authorities as required by Florida's Information Protection Act and other applicable law.
10. Your choices and rights
You may:
See what we have. Ask us for a copy of the personal information we hold about you or your athlete.
Correct it. Ask us to fix anything inaccurate or out of date — much of this you can update yourself in the member portal.
Delete it. Ask us to delete personal information we no longer need. We'll honor the request except where we must keep records (see Section 8) — for example, signed waivers, and billing and accounting records.
Opt out of announcements. As described in Section 7.
Close your account. Ask us to close your portal account. Closing it doesn't by itself end your enrollment or any balance you owe.
To make a request, email admins@myalphatraining.com from the address on your account, or write to us at the address in Section 14. We may need to verify who you are before we act, and we'll respond within a reasonable time. A parent or legal guardian may make any of these requests on behalf of their minor.
We won't deny you service, charge you more, or treat you differently for exercising these rights.
11. Where information is stored
We operate in the United States, and the cloud platforms we use store and process information on infrastructure in the United States. If you access the Site from outside the United States, understand that your information will be handled here, under United States law.
12. Third-party sites and links
The Site links to and relies on services operated by others, including our sign-in, payment, and e-signature providers. Once you're on their pages, their privacy policies — not ours — govern what they collect and how they use it. We don't control those practices and aren't responsible for them.
13. Changes to this Policy
We may update this Policy as our business or our systems change. We'll post the revised version here with a new "Last updated" date, and if a change materially affects how we handle your information, we'll make reasonable efforts to notify account holders. Continuing to use the Site after a change means you accept the updated Policy.
